Moving Your Pickleball Club From WhatsApp (or Spond) to Clubbie
You don't need to move any data out of WhatsApp or Spond. There's no export, no roster to upload. Here's exactly what to do instead.
What to do
- Set up your club — takes about an evening.
- Message your regular players directly with the invite link, not just a group post.
- Post the same link in your WhatsApp group for everyone else.
- Run your next scheduled session through Clubbie — don't try to backfill old ones.
- Once your regulars are booking and paying through Clubbie, retire Spond.
Tips for a smooth switch
Message your regulars first. A link dropped into a busy group chat gets buried. A short direct message to the 5-10 people who play every week gets you a critical mass of joiners before you post it more widely.
"Hey everyone — we're moving bookings and payments to an app called Clubbie so it's easier to keep track of. Tap this link to join: [your link]. Takes a minute, message me if you get stuck."
Pick your next session, not a past one. Publish your next scheduled session through Clubbie and let that be the first one people book through it. Don't try to recreate old sessions or backdate history — it starts fresh from here.
Set yourself a date to drop Spond. Once your regulars have joined and you've run a couple of sessions through Clubbie, there's no reason to keep paying for or maintaining a second admin tool doing the same job.
What changes, what doesn't
| Thing | What happens |
|---|---|
| Your WhatsApp group | Stays, permanently. That's the point — it's for the banter, Clubbie takes the admin off it. |
| Your Spond group | Does the same job Clubbie does. Once your regulars have moved over, retire it — no reason to run two. |
| Session admin | Moves to Clubbie: booking, capacity, waitlists. |
| Payments | Moves to Clubbie: no fee on cash or Revolut. |
| Club history | Starts from your first Clubbie session. Nothing to backfill. |
For the specific problems this fixes — the same repeated questions, chasing payments, lost photos — see the organiser guide.
